Automation
Rent collection automation for property managers
Rent collection automation means the reminders, the notices and the payment links go out on their own schedule, and a person only steps in for the cases that actually need one.
The problem
What this actually costs you today
This is money you have already earned. It is sitting out there, and every month somebody works through a list making the same calls in the same order.
The work is not hard. It is just relentless, it lands on the same person every time, and the part that would actually help — reaching people before the due date rather than after — is the part that never happens, because by the sixth everyone is busy chasing the ones who already missed.
How it works
What we build, step by step
We build the sequence backwards from the due date
A friendly note a few days before, the due-date reminder, then a defined escalation on the days you choose. Written in your voice, not a template that sounds like a bank.
Every message carries a way to pay
The payment link goes in the message itself. No portal login, no "call the office", no reason to put it off until later and then forget.
Escalation follows your policy, not a mood
The same schedule for every tenant, every month. When a notice is required, it is generated on the correct day with the correct language for your state — which is also the point at which somebody reviews it.
Exceptions come to a person
A partial payment, a promise to pay, a payment plan, a dispute. Those land on a short list for your team, with the history attached, instead of being buried in a long one.
What changes
What changes for your team
- Your team works a handful of real exceptions instead of a spreadsheet of names.
- Every tenant is treated the same way on the same days, which is what a fair process looks like.
- The before-due-date reminder finally happens, and it is the cheapest one you have.
No rip and replace
It runs on the software you already have.
Your property management software stays your system of record. Nothing here asks your team to log into somewhere new, and nothing here replaces the platform you already pay for.
Some platforms don’t open their API to most customers. That doesn’t block us. Almost everything we build runs off a report your software can already email out on a schedule.
Questions
What people ask about this
Does this send legal notices automatically?
It prepares them on the right day with the right language, and it stops there for a person to review and send. Legal notices carry consequences, so a human always approves the ones that matter.
Will tenants feel chased by a robot?
They should feel reminded, not chased. The messages are short, written in your voice, and stop the moment payment lands. Most tenants who pay late are not avoiding you — they just needed the link at the right moment.
Do we have to change how we take payment?
No. It uses whatever your software or your gateway already supports. We put the link where the tenant already is, which is usually their phone.
