    Vendor notes, building quirks, owner preferences, the exceptions to your own rules. In one place, searchable, in plain language rather than a policy document nobody opens.

  3. The mechanical parts get automated

    A good deal of what the knowledge-holder does is lookup and routing. Once it is written down, most of that can happen without asking them at all.

  4. It stays current on its own

    New vendor, changed preference, new building — updating the record is part of the workflow that created it, not a separate task someone has to remember.

Because nobody is asked to maintain it as a separate job. The record updates as a by-product of the work that produced it — a vendor added during a turn is a vendor added to the record.

Where does it actually live?

Wherever your team already looks. Usually inside the tools they have open all day rather than a new system with another login, because the second one is the one that goes stale.

How long does this take?

The observation is a couple of weeks because it has to catch a real month, not a quiet one. Writing it up and automating the obvious parts is faster than people expect.
